Nomination and Selection Process

Faculty Awards

  1. The processes of nomination and selection will be administered by a Faculty Awards Committee organized by the Chancellor’s Office.
  2. The Faculty Awards Committee should include members from a diverse group of faculty across WVU Health Sciences, with representatives from all five schools. Committee members will be appointed to three year terms, with 1/3 of the committee membership ending their term each year. Previous award winners will be asked to serve as committee members, when possible.
  3. All awards will include the criterion “The nominee contributes to a positive culture within their unit” and will require at least one example of how the nominee meets this criterion.
  4. Nominations can be made by faculty, administrators or staff.
  5. Self-nominations will be accepted, with approval of the nominator’s chair, immediate supervisor or dean. A letter of approval will be required for all self-nominations; the letter of approval must address the criterion “The nominee contributes to a positive culture within their unit,” with at least one example of how the nominee meets this criterion.
  6. All committee members will be asked to declare real or potential conflicts (e.g., the committee member is a nominator for an award) prior to review of nomination packets. In the event a member of the awards committee has a real or potential conflict of interest, they will not be present for review or selection for the applicable award category. If a committee member is nominated for an award, then the committee member will be excused from participation on the committee for that cycle.
  7. A call for nominations will be sent electronically to all Health Sciences faculty and posted on the Chancellor’s Awards website. Nominations and support material must be submitted electronically per the instructions within the call for nominations.

    b. Nominator Department/Center/Institute
    c. Nominee Name
    d. Nominee Department/Center/Institute
    e. Nominator must indicate that the nominee has approved his/her nomination.
    f. Award Category

  9. Nominees will be judged and scored solely on the information contained in the nomination packet.
  10. Members of the Faculty Awards Committee will review each nomination and provide a score based on a scoring form customized for each award. The top scored nominations for each award will be discussed and voted on by the committee.
  11. The results of the committee vote will be forwarded to the chancellor for final determination of the awardee for each category.
  12. Each category may have only one recipient each year.
  13. It is not necessary that all awards be given every year.
  14. All submissions will be kept on file for one year. If a nominator wishes to resubmit their materials with updates, they should contact the Faculty Award Committee chairperson. In the event a nominator has a high score but is not selected, the committee may ask the nominator to resubmit materials with updates the following year.

Staff Awards

  1. The nomination and selection process will be administered by a Staff Awards Committee organized by the Chancellor’s Office. The committee should be composed of representatives from all sectors of staff. The Staff Awards Committee shall also include an ex-officio member from the Chancellor’s Office who will provide assistance in guiding the process.
  2. A standard form and set of questions shall be used to evaluate all nominees. Nominations will be available electronically in a survey platform that the committee deems acceptable (REDCap, Qualtrics, etc.). At a minimum, the nomination form will collect the following information:
    a. Nominator Name (no self-nominations)
    b. Nominator Department/Center/Institute
    c. Nominee Name
    d. Nominee Department/Center/Institute
    e. Award Category
    f. Specific evidence/examples of each of the award criteria:
    1. Knowledge
    2. Skills
    3. Dedication
    4. All awards will include the criterion “The nominee contributes to a positive culture within their unit” and will require at least one example of how the nominee meets this criterion.
    5. Overall position effectiveness
  3. At the end of the open nomination period, the ex-officio member of the Chancellor’s Office will share and distribute all nominations to the committee using any acceptable document-sharing format.
  4. All nominees will be evaluated using the same scoring mechanism, a 1-10 scale of each of the award criteria.
  5. The committee shall evaluate nominees based solely on the information contained in the nomination form, and any outside knowledge of the candidate will not be considered.
  6. In the event that an award category has zero acceptable nominations, or nominations that the committee deems unable to appropriately score, it is unnecessary that every award be given in any given year.
  7. The Staff Awards Committee shall select the awardees, with final approval being given by the chancellor and executive dean for Health Sciences.

Team Awards

  • Nominations for these awards can be made on the submission link designed for team achievement award nominations.
  • Nomination forms for team awards will contain the following:
    • Nominator Name
    • Nominator Department/Center/Institute
    • Team Name
    • Team Departments/Centers/Institutes
    • Award Category
    • Required Materials
    • Suggested Materials
  • All awards will include the criterion “The nominee contributes to a positive culture within their unit” and will require at least one example of how the nominee meets this criterion.
  • Nominations will be distributed to both the faculty and staff award committees.
  • Each committee will use their scoring mechanisms to evaluate and discuss the team award nominees.
  • After both committees have met, an electronic vote for team award winners will be held with members of both committees eligible to vote.
  • The results of the committee votes will be sent to the chancellor for final determination of the award winners.

Women in Science and Health Awards

  • Nominations are managed by the WISH Award subcommittee of the WVU HSC. The subcommittee is responsible for soliciting and evaluating nominations annually and recommending a nominee to the WISH committee for final approval.
  • Nominees will be judged and scored solely on the information contained in the nomination packet.
