Graduation application, deadlines and information for HSC Spring Graduates

Spring/May 2023 Graduation Application Information:

Students who applied for December 2022 and were removed from the graduation list do not need to submit a new application. The December application rolls-forward to May 2023. (Exception: If you’ve had a total of 3 submitted and denied applications, you will need to submit a new application.) To view your active application: please log into your STAR account, select the “Student Services & Housing” tab, “Student Records”, and then “View Application to Graduate.”

Graduate students planning to graduate in Spring/May 2023 must submit the online graduation application by Fri., March 10.

PhD students are asked to select their committee members from a dropdown box. Note: If a committee member is not listed, the student should choose any name (does not matter who) from the list. Once you’ve submitted the application, notify Joe Andria (jandria@hsc.wvu.edu) who will administratively change the committee member name(s).

 Diplomas will be mailed in the weeks following degree conferral (May 14th - official May 2023 conferral date).

Students who have no financial holds on their accounts will receive email notification to their MIX account when their diploma has shipped. Tracking numbers will not be available. If a diploma is being mailed to an address outside of the United States, it may take an additional 4-6 weeks for delivery. Students who wish to pick up their diploma need to enter the Registrar’s address on the application: Office of the University Registrar, PO Box 6878, Morgantown, WV 26506

ETD (Electronic Thesis and Dissertation) Spring Submission Deadline: 5 p.m., Friday, April 28, 2023

Students are required to successfully defend their thesis or dissertation before submitting to the university library!


PLEASE READ: If your degree program requires submission of an Electronic Thesis or Dissertation, you must submit by the deadline to be approved for May 2023 graduation/degree conferral. Students who submit after the deadline will be deleted from the May 2023 graduation list and must reapply for August 2023 graduation.


Defense Date/Final Defense Request Form Deadline:

  • Requests to defend (formally “Shuttle Sheet Request”) must be submitted 2 weeks prior to the proposed defense date
  • Spring term defenses should take place on or before April 14
  • In-person defenses should also offer a virtual/call-in option (e.g. Zoom)
  • Forms and guides available at the Health Sciences Center Graduate Programs SOLE Site (FORMS-HSC Graduate Students)

Graduation Information Session: Guide to Defending & Graduating This Year

The Office of Research and Graduate Education held a virtual Graduation Information Session in September 2022. This session informs graduate students who need to defend a thesis, dissertation, or final project in order to graduate from their program. A recording of this session along with presentation slides are available in the Health Sciences Center Graduate Programs SOLE site (Content -> FORMS - HSC Graduate Students -> Graduation Guides, Checklists, and Templates)

Commencement Exercises:

May graduates are invited to participate in May Commencement exercises. More information can be found on the WVU Graduation Homepage or from your specific college/commencement coordinator.
Those planning to participate should consider purchasing regalia as soon as possible! Visit the HSC Bookstore for more information.

Special Note Regarding Final Transcripts
Although May 14 is the degree conferral date, university graduation coordinators have until May 19, 2023 to submit finalized graduation lists to the university registrar. If you are in need of a final transcript indicating degree completion, it may not be available until the week of May 22. If you would require degree verification prior to the availably of final transcription, please contact your advisor or this office.
