Reminder of surplus and computer transfer procedures

In order to properly document computer items that need to be sent to surplus or transferred to other users, please follow these directions. This will be done by appointment only with the HSC Help Desk. 

Surplus Procedures

  • Any device that needs to be tagged by ITS and sent to surplus must have a form completed for each item that is brought to ITS. This will be done by appointment with an ITS technicians. 
  • The form must have the department, full name of wwner, email, eepartment who is asking for the item to be sent to surplus and the type of device. 
  • Also, HSC ITS will need to know the type of device and enter the serial number and model of device. 
  • Hard drives will be tagged with a Blue tag when degaussed and sent to surplus by ITS staff only. 
  • An Orange tag is put on computer hardware and dated by IT personnel only. 
  • Hard drives will be pulled from the device and will be destroyed (shred) or sanitized by HSC ITS.

Transfer Procedures

  • Any device that requires re-assignment must be sanitized by the assigned departmental ITS staff member or by the HSC Help Desk. 
  • A transfer request form must be completed by the assigned departmental ITS staff member or designated CSC with the required information such as serial number and updated user/location information for accurate inventory purposes. 
  • It is the department's responsibility to ensure this process is completed for each device transfer. To schedule and appointment for items to be sanitized for reassignment by ITS, email hsc_helpdesk@hsc.wvu.edu.

It is the department's responsibility to take properly tagged items to surplus, minus the hard drive which ITS will surplus. To schedule an appointment for items to be documented and tagged by ITS, email surplus@hsc.wvu.edu. 

Once the Help Desk has degaussed/sanitized the equipment, the equipment will be eligible for your department to surplus or re-assign (transfer) within the University.
